Eisteddfod and Performance Policy

This document refers to all performances and competitions and covers entry processes, copyright policies, performance standards and expected behaviours.

For the purposes for the following, the word ‘eisteddfod’ pertains to festivals, performances and like-competitions; or the ‘organising body’ of the performance/competition. ‘Convenor’ is a representative authorised by the ‘eisteddfod’.  Brisbane Acting and Drama Pty Ltd is the enrolling Company and may be referred to as ‘the studio’. ‘Session’ is the time period in which one or more events are timetabled; ‘section’ is a grouping of like events.

Entry Process

Parents must place entries through the studio and not directly to the eisteddfod, unless otherwise directed. Entries must be accompanied by FULL payment of fees (see invoicing below). Entries are available to all enrolled students under the guidance of the teaching team for sections and content.

Due Dates

Entries taken after the studio outlined due dates will incur additional fees including eisteddfod and administration charges. In some cases, entry after the due date is not possible.

Consent to Sharing Personal Information

The studio will provide eisteddfods with personal information upon entry including but not limited to: participant’s name, date of birth; parents contact details. Personal details provided by the studio on the entry form are for the eisteddfod’s identification use only and are not released to third parties except at the eisteddfod’s discretion in accordance with their individual policies; usually after consultation with the entrant to known organisations when an opportunity may be beneficial to an entrant.

Submission of Performance Pieces

Eisteddfods require copies of performance pieces to either be handed in hard copy or submitted digitally. Submission of materials will be completed by the studio and copyright permissions granted to performers for that particular competition.

Invoicing

Invoices will be sent to parents/guardians/participants for competitor entry fees. Programme fees, booking fees and all other fees charged by the eisteddfod are added to the invoice. GST is added upon invoicing. Each eisteddfod has a different fee schedule and can be found on their corresponding websites and schedules. Partners for duo poems and duologues will be charged half each the entry fee and invoiced accordingly.  

Administration Fees

Administration fees are added at each round of invoicing and cover entry and submission of performer’s work, communication and correspondence to the convenors. For students entering multiple sections, the administration fees are increased to reflect the number of entries. The administration fees also include copyright performance fees, which are mandatory for each performer at every performance (see Copyright and Performance Permissions).

Costume and Props

Costumes and props are often required for character, monologue and extract from a play sections.  Students must provide their own costumes and props. Our students are welcome to use our full range of studio items, generally without a hire fee, depending on the item. However, fees will be charged for lost or unreturned or damaged items.

Eisteddfod Dress

Theatre blacks are the standard professional dress for performers except required costume sections. Studio branded t-shirts and attire are encouraged and can be purchased through the studio for a fee.

Etiquette

All patrons must abide by our code of conduct outlined in our conditions of enrolment. Students and parents are expected to behave in a manner befitting of friendly competition and no negative or bad behaviour will be tolerated.  Behaviour contradictory to our studio ethos may result in exclusion.

Attendance

For in-person and live performances, students must attend at the session times listed in the program. Please note that a number of sections are performed within a session and only a session start time is noted. Students must make their presence known to the convenor to make their attendance on arrival and prepare for marshalling prior to performance. Students are granted free entry to performances while all other patrons are charged ticket fees.

Photography and Videography

Photography and videography are generally prohibited.  Consult individual eisteddfods and performance venues for specific rules.

Eisteddfod Rules

All performers enter and participate in each separate competition according to their specific rules and conditions. While guidance will be provided by the studio staff, the onus remains on the parents and performers to follow each eisteddfod’s separate rules.

Performance Representation

Students are representing our Company, Brisbane Acting and Drama, at all performance events and must comply with our Conditions of Enrolment at all times; show excellent etiquette and sportsmanship. If conflicts of interest arise they may result in disciplinary action including exclusion.

Withdrawal

Parents/students must notify the Studio Director, Marianna Psaltis, in writing to notify of a withdrawal from an eisteddfod or performance. The Studio Director and Brisbane Acting and Drama reserves the right to withdraw a student from a performance for any reason at any time.

Queries

All queries, feedback and complaints regarding eisteddfod processes and performances must be made promptly in writing to the Studio Director, Marianna Psaltis.

Liability

Brisbane Acting and Drama takes no responsibility for unprocessed entries. The studio cannot be responsible for entries lost through failed transmission. The studio accepts no responsibility for performers who are injured or harmed in any way while participating in these events.  Entrants perform at their own risk. Entrants agree they are of good health and fitness and physically able to participate in an event. No liability will be accepted for any injury sustained whilst carrying out that performance.

Supervision

Supervision of students/children always remains the responsibility of parents and guardians.

Publicity

Brisbane Acting and Drama at its sole discretion, may promote or publicise the profile of any student and their participation and publish names and competition results, including photos via electronic and printed media at its discretion, as standard studio practice.

Copyright and Performance Permissions

Our studio holds two copyright licences which enable our students to perform licenced, published and unpublished work at authorised events.  There are stipulations to these policies including length/duration, author, digital and in-person performances.

Copyright and performance permissions are mandatory at every performance. Depending on the performance type, venue and eisteddfod rules, etc. 

Written permission must be expressly granted by Studio Director, Marianna Psaltis for students to perform her work including written and spoken texts, choreography, plays and academic prose.

Brisbane Acting and Drama expressly denies permission for students to perform work at unauthorised events.  In the event that a student wishes to perform work learned at the studio at an ‘out of studio event’, permission must be requested in writing and granted prior to performance otherwise infringements may apply from our studio or outside agencies.

Brisbane Acting and Drama takes no responsibility for unauthorised performances and performers who are infringed as a result of contravening our or our agent’s policies.
